A Guide to the 5 W's on Planning Group Trips in Undergrad

One of the most popular questions I receive on a frequent basis is: How do I plan trips in Undergrad? The process can be very tasking, and finding the time to plan and execute can be hard to come by. In this article, I will articulate the basic steps on planning any trip, but especially for those with a demanding day to day schedule.

Who: to invite?
When planning a trip it is not where you a much as it is who you go with. Who you are inviting can make or break your experience. When forming your group you want to choose people who are stable, reliable, and trusted friends. Preferably friends you have traveled with before, that have a steady income ,and somewhat open schedules.
What: are you doing?
No matter the reason for the trip there are many different ways people like to travel. Be very sure to outline clearly the parameters of what will be happening on the trip including but not limited to excursions, dining, etc. This will help determine a true estimated price, and thus your invitees ability to attend.
When: are you going? & to start planning?
These two factors are very important because trips can take a lot of time to plan. When beginning the planning process you have to factor in adequate time to arrange a plan of action, and to actually pay for the trip. Bigger trips most times require more money, this should be considered when inviting people to your trip. When you are going also determines costs, and the weather during certain times of the year.
Where: are you going?
When deciding on where you should go for a trip will pose its challenges. Prices will fluctuate depending on seasons, and depending on your method of travel; Different airports will have varying prices to certain destinations. Be prepared for this as sometimes you will host people who live across the map. In addition, where you go will determine how many people can be reasonably managed; Busy city trip? I would recommend a smaller group. Relaxing beach? More or less it all depends on your ability to manage.
Why: are you going?
For a birthday? A bae-cation? Business? Just for fun? Whatever the reason, solidifying why will help you determine exactly who to invite, where you should go, and give an estimate on how much the trip will cost you. For me, a birthday trip would be considered over-the-top and expensive, but that could be the complete opposite for some people. Overall, invitees will have fair questions about why the trip is being planned in the first place.
